About Our Client

Our client is a leading provider of NHS primary care (GP surgeries) operating across 5 practices within the North West of England. The group focuses on delivering high-quality, individualised care for its 35,000 registered NHS patients.

Currently, the majority of practices are in the Tameside area, North West, however the group is expanding into the wider North region and has plans in future to grow into other areas of England.

CJPI have been exclusively retained to recruit a Data & Business Support Manager.

About The Role

This newly created post forms part of the company’s growth plans and its need to ensure that utility of data to drive its business, and business support functions are moved into its own role. Currently these functions are carried out between the Practice Manager and Clinical Business Manager.

As the Data & Business Support Manager, you will report to the Practice Manager and play a vital role in taking our business to the next stage. Your approach will need to be hands-on as you’ll be working in the heart of our very fast paced, responsive business operation in a multifaceted role which includes responsibility for ensuring smooth daily operations, in addition to leading on data analysis, estates, workforce scheduling, clinic operational scheduling, income tracking and forecasting. 

With training from the team, you’ll need to quickly gain an in-depth understanding about the operational demands and requirements of the practices, so that you can effectively support our experienced team.

This role is hybrid, with a weekly presence across the practices (primarily Tameside). Hours are Monday-Friday (40hrs) which can be flexible but you must be available 07:30am – 08:00am through the week to deal with any cancellations.

Duties & Responsibilities

Daily Operational Support:

  • At the heart of our fast-paced working environment, you will be responsible for supporting our leadership team with the smooth daily operations of the business.
  • As a hands-on individual, you will be responsible for delivering the outputs required within the functional areas you are accountable for.
  • Maintain excellent daily communication with the leadership team and wider teams in order to deliver effective support and recommendations.
  • You will provide guidance and advice to other members of the team.
  • Throughout your role you will identify operational improvement areas and plan and implement systems and positive change
  • You will be responsible for managing external service suppliers in accordance with the business requirements.
  • You will manage the organisations estates and ensure that all facilities are operating efficiently, safely, and are well maintained.
  • Ensure the facilities comply with all relevant laws and regulations, such as those relating to fire safety and environmental standards.
  • Own and manage the organisations training library and manuals.
  • Administer user accounts for a wide variety of IT systems, to ensure appropriate access and audit of access on a regular basis.

Data Analysis & Presentation:

  • Own the organisation scorecard process and monitoring to identify risks, remedy issues and escalate as required.
  • Bring together CQC and other regulatory data as required for routine and unannounced inspections.

Workforce Management:

  • Identify where locum support is required and coordinate with the relevant locum agencies to ensure adequate cover.
  • Manage workforce planning & scheduling tools, managing holiday and leave and ensuring that each clinic is staffed.
  • Manage clinic scheduling and responding to staffing issues as it pertains to staff rotas.

Financial:

  • You will work with the Medical Director to prepare budgets, schedules, and other organisational reports as needed.
  • Identify areas where efficiencies could be made through analysis.
  • Manage private patient invoicing, billing, and credit control processes (as it pertains to private medicals for registered patients).

What We Are Looking For

Experience:

  • You will be experienced in problem-solving, through an agile and hands on approach in one or more business support functions (such as estates, administration, audit, data or workforce planning and scheduling).
  • You will have at least 2 years of experience in the collection, analysis, and utilisation of data to optimise business operations.
  • You will have experience working in a fast-paced environment, often under pressure with shifting demands. 
  • You will be experienced in responding and adapting to challenges and solving problems alongside colleagues.

  • A high-level of computer literacy to create and manage detailed financial and operational models.
  • The ability to quickly pick up a wide variety of IT systems.
  • Resourcefulness and flexibility to meet the needs of the organisation and demands of the position.
  • The ability to work independently and as a team member to achieve outcomes and deadlines.
  • The ability to balance demands/priorities and manage workload effectively.
  • Ability to multitask and manage multiple projects at one time if required.
  • A high degree of political sensitivity and experience of dealing with a range of issues in a complex stakeholder environment. 
  • The ability to communicate complex issues to all levels of the organisation.

  • The ability to work in a methodical and organised way.

Salary & Key Benefits Package

  • £35,000 – £45,000 basic salary
  • 20% Employer Contribution NHS Pension
  • 25 Days Annual Leave (plus Bank Holidays)
